WedHQ Terms of Service

These Terms of Service ("Terms") are an agreement between Fullarton Group Pty Ltd (ABN 14620972143), trading as WedHQ ("WedHQ," "we," "us"), and the venue signing up for the service ("you," "your venue"). By creating a WedHQ account, you agree to these Terms.

1. What WedHQ Is

WedHQ is a booking platform for event and wedding venues. It gives your venue a hosted tour booking page with a live calendar, optional sync with third-party calendars (such as Google, Apple, or Outlook), automatic confirmation and notification emails, and tools to manage tour bookings and enquiries. WedHQ is a booking and scheduling tool. It is not a customer relationship management (CRM) system, and it does not replace one.

2. Your Account

You must be authorised to act on behalf of the venue you're signing up. The details you provide (venue name, contact details, availability, photos, pricing) must be accurate and kept up to date. You're responsible for anything that happens under your account, including keeping your login secure.

WedHQ is intended for genuine venue businesses. We may decline or suspend an account that isn't operating as a real venue, or that we reasonably believe is being used to misuse the platform.

3. Subscription and Billing

WedHQ is billed as a recurring monthly or annual subscription, processed securely through Stripe. By subscribing, you authorise WedHQ to charge your nominated card each billing period until you cancel.

Free trial. New subscriptions include 60 days free. A card is required when the trial starts, but the first payment is not taken until the trial ends. Cancel during your trial and you won't be charged.

Pricing tiers. Current plans and pricing are shown on our pricing page at the time you sign up. We may change our standard pricing for future billing periods with at least 30 days' notice by email.

Failed payments. If a payment fails, we'll attempt to notify you and retry the charge. Your booking page and account features may be paused if payment isn't resolved within a reasonable period.

Cancellation. Monthly plan: You can cancel anytime, with no lock-in contract. You’ll keep using the plan for the rest of the billing period you’ve already paid for; there’s no refund because you simply use out what you paid for. Annual plan: You can also cancel anytime, but there’s no refund or credit for the unused part of the annual period. Cancelling only stops the plan from renewing next year. Nothing in this cancellation policy limits any rights you have under the Australian Consumer Law.

Plan changes. If you upgrade or downgrade mid-cycle, any difference is charged or credited on a pro-rata basis for the remainder of that billing period, consistent with standard Stripe subscription behaviour.

Nothing in this section limits any right or remedy you have under the Australian Consumer Law that cannot lawfully be excluded, restricted or modified.

4. Your Data and Content

Your venue retains ownership of the content you upload (photos, descriptions, pricing, and the booking and enquiry data collected through your page). By joining, you agree WedHQ may display your venue name, photos and location on WedHQ, including the homepage and nearby venues listings. You grant us the licence needed to host, display and process that content for the purpose of operating the service for you.

We do not access, use or share your venue's booking data for any purpose other than providing you the service, supporting your account, and the limited legal and processing purposes described in our Privacy Policy. In particular, your booking data is never shared with, or made visible to, any other venue using WedHQ.

You're responsible for making sure any information you collect from couples through the platform (names, contact details, tour preferences) is handled by you in line with applicable privacy law, in addition to WedHQ's own obligations as set out in our Privacy Policy.

WedHQ staff may access and edit your venue page at your request to provide support. Any such change is recorded against the staff member who made it.

5. Third-Party Services

WedHQ relies on third-party providers to deliver parts of the service, including Stripe for payment processing, third-party calendar providers (such as Google, Apple, or Outlook) for optional calendar sync, and email infrastructure for sending confirmations and notifications. If you choose to connect a calendar sync feature, your use of that feature is also subject to that provider's own terms, and WedHQ only accesses the minimum information needed to provide the feature (for calendar sync, this means checking whether a time is free or busy, not reading the details of your events).

6. Acceptable Use

You agree not to use WedHQ to send unsolicited or misleading communications, to misrepresent your venue, to attempt to access another venue's account or data, to reverse-engineer or resell the platform, or to use the service in any way that breaches the law or infringes anyone else's rights.

7. Intellectual Property

WedHQ, its software, design, and branding (including the WedHQ name and logo) are owned by us and protected by intellectual property law. Nothing in these Terms transfers any of that ownership to you. You may use the WedHQ platform only as intended for operating your venue's bookings.

8. Availability and Liability

We work to keep WedHQ reliable, but we don't guarantee the service will be uninterrupted or error-free, and we're not liable for booking losses caused by outages, third-party service failures (such as Stripe, Google, or our email provider), or issues outside our reasonable control.

To the maximum extent permitted by law, WedHQ's total liability to you arising from these Terms or your use of the service is limited to the amount you paid us in the 12 months before the claim arose, and we are not liable for indirect, consequential, or special losses, including lost bookings or lost revenue.

9. Termination

You may stop using WedHQ and cancel your subscription under the cancellation terms in section 3. We may suspend or terminate your account if you breach these Terms, don't pay your subscription, or if we reasonably believe your use of the platform poses a risk to WedHQ or other users.

10. Changes to These Terms

We may update these Terms from time to time. If we make a material change, we'll let you know by email before it takes effect. Continuing to use WedHQ after a change takes effect means you accept the updated Terms.

11. Governing Law

These Terms are governed by the laws of Victoria, Australia, and any dispute will be handled in the courts of that jurisdiction.
